      5. We retain the data of registered learners until we are requested by the learner to remove it, to enable us to provide copy certificates of achievement if required. This data is also linked to PD:Approval's certificate verification tool accessed via a QR code on the certificate, where the learner's name and certificate number is automatically inputted for verification to prevent fraud. The verification can also take place by going directly to the www.pdapproval.com/verify and inputting the learner's name and certificate number, exactly as they appear on the certificate.
      6. PD:Approval partners with organisations under agreements where data may be shared with PD:Approval as the 'Processor.' It is the responsibility of the organisation providing the data (the 'Controller') to ensure compliance with their country's data protection laws. If the partnership or service is terminated, PD:Approval will implement a plan to remove all related data from its platform. It is the responsibility of the Controller organisation to notify their members that their data is no longer accessible or stored on PD:Approval’s platform. If PD:Approval is the Processor and Controller, then we will also inform the member.

    5. How we use your information

    1. In general, we use the information we collect primarily to provide, maintain, protect and improve our current websites and services and to develop new services.

        • Your ongoing continuing professional development (CPD) certificates and records to verify that you are meeting our mandatory requirements for CPD
        • Personal details and photo ID to verify you for security purposes and your credentials

        • Purpose: Facilitates access to approved training materials.
        • Data Processing:
          • Learners' data is submitted by training providers to PD:Approval for registration on the platform
          • Data provided by the platform includes training progress and assessment results
          • Personal access to the platform is for 12 months unless extended by the training provider

        • Purpose: This site verifies certificate authenticity through public QR-code access using name and certificate number

          • Data displayed includes full name, training provider name, qualification, and date of completion

    7. How we share your information

    1. Information about our customers is an important part of our business, and we are not in the business of selling it to others. We share customer information only as described below.
      1. PD:Approval Endorsement/Accreditation of education: If your PD:Approval endorsement submission is successful and unless you request otherwise, your company name and endorsed training programmes will be listed in the REPS India, REPs UAE, STA or SPM members areas so that their members can find and log their CPD points (also known as achievements) against the appropriate training. Once you successfully achieve PD:Approval endorsement, we will share the following data with REPS India, REPs UAE, REPs Ireland, ICREPs, STA or SPM, who operate as data processors and controllers of your information and comply with current data protection legislation:
        • Your company name
        • Your endorsed/accredited programme name
        • The prerequisite required by members
        • The CPD points your programme awards
        • Your unique programme identification code (generated by PD:Approval)

        Data is handled by our partners as follows:

        • REPS India handles their own data processing activities in accordance with their country’s regulations.
        • REPS UAE handles their own data processing activities in accordance with their country’s regulations.
        • REPS Ireland handles their own data processing activities in accordance with their country’s regulations.
        • ICREPS handles their own data processing activities in accordance with New Zealand's regulations.
        • STA handles their own data processing activities and abides by the same robust privacy framework and standards as PD:Approval.
        • SPM handles their own data processing activities and abides by the same robust privacy framework and standards as PD:Approval.
      2. PD:Portal:
        PD:Approval endorsement/accreditation provides you with an added value optional service of the PD:Portal, our public website where you can upload your endorsed training which individuals looking for training can then view. There is the option however to mark training as Private if you don’t want to advertise it outside of your organisation.
      3. PD:Verified:
        Customers who sign up with PD:Verified will have their name and skill (category of membership) listed publicly on the website. Other additional information which is optional e.g. contact details, biography etc will also be publicly listed. You are able to turn your profile to Private at any time if you wish to so that no one can view this other than PD:Approval and yourself.
      4. PD:Education:
        Customers who sign up with PD:Education will have their personal information transferred to a third party awarding organisation. The awarding organisation uses this information to process your qualification for quality assurance purposes and print a certificate upon successful completion of your assessment. Awarding organisations are regulated by Ofqual and have similar robust privacy policies. Visit our current awarding organisation’s website to review their privacy policy.
      5. KomplyHub:
        This information is shared with the affiliated organisation who provided your contact information for which you granted your consent. The information is for reporting purposes and is not shared with any other parties.
      6. StudyHub:
        Data is hosted on Hubken Group’s Moodle server (visit the Hubken Group website for details of their privacy policy).
      7. General:
        • PD:Approval uploads email addresses to specialist email provider MailChimp so we can send this email securely and increase the chance of it arriving in your inbox. MailChimp will not use your email for any other purpose than to send you our email. You can read MailChimp's commitment to privacy on their website.
        • PD:Approval uses a Dropbox business server to store all our company data and customers' data securely. You can read their trust security policy and privacy policy on their website.
        • We use FormAssembly for the submission process so you can securely upload your endorsement criteria. PD:Approval processes your application by securely downloading it to our Dropbox server and sharing it with an appointed evaluator who is contracted to work for PD:Approval.         • FormAssembly is also used for any other online forms PD:Approval sends out ie renewal, registration, enquiry, enrolment and recording of CPD etc.
        • PD:Approval uses AIT Themes web resources and themes on our Wordpress sites for you to access our services. You can read their privacy policy here.
        • PD:Approval's websites have been built using either Wordpress as the web content management system (read the Wordpress privacy policy here; or Joomla (read their privacy policy here).
        • PD:Approval uses TSO Host to host our websites on their servers as well as purchase our domain names. You can view their privacy policy on their website. TSO Host is also part of 123 Reg to service the servers and register new domain names. You can view their privacy policy here.
        • When enquiring about our services we require your name, company name, contact details and address to create a profile account in our Customer Relations Management (CRM) system which is SalesForce. SalesForce also is a specialist email provider which allows us to send you emails securely and increase the chance of it arriving in your inbox.         • PD:Approval uses WeTransfer to send and receive information that is too large for email. You can see their privacy policy on their website.

        • To keep our financial accounts up to date and provide you with the most efficient service, we store your company and contact data in Xero. You can read their security policy and privacy statements on their website.
        • To easily purchase and renew your services with PD:Approval we use a PayPal payment gateway, you can read their privacy and security policies on their website. Alternatively, you have the option to pay via BACS.
    2. Debt Collection Agency
      Upon non payment after 14 days (payment upon application) or 30 days (payment via invoice) your contact and account information will be sent to a debt collection agency who will be responsible for settling your account.
    3. Business Transfers.
      In the event that PD:Approval creates, merges with, or is acquired by another entity, your information will most likely be transferred. PD:Approval will email you or place a prominent notice on our Website before your information becomes subject to another privacy policy.

      2. PD:Education – We share your data with our awarding organisation to ensure that you can gain access to learning materials, guidance and support as well as a certificate upon passing your assessment.

      Outside of these third parties we do not disclose personal data unless we are obliged by law, or the disclosure is necessary for purposes of national security, taxation or criminal investigation.

    4. We do not share the data you provide on PD:Verified, PD:Portal or PD:Approval Shop with any third parties.

    2. For our endorsed /accredited training providers, you will be given access to your personal Dropbox where you can find all the information that we have about your endorsement/accreditation. In your Dropbox, you can view and update the information about your employee details and endorsed/accredited training programme content.

    5. PD:Verified: you can view and update the contact information in your account using your personal login details.
    6. You can request an electronic copy of information that we hold about you by contacting us, we charge a fee for this service. We may also charge an additional fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.

    13. Suppliers and other third parties
